Your shop's records, your customers, your money — here is exactly what we collect, why, and how we keep it safe.
1. Who we are
VetX is a shop management application built and operated by Farm Alert Limited, a company registered in Nigeria with its office in Abuja, FCT ("Farm Alert", "we", "us"). This policy explains how we handle personal data when you visit vetx.pro, register a shop on VetX, or use the VetX app as an owner, employee or accountant of a registered shop.
We process personal data in line with the Nigeria Data Protection Act 2023 (NDPA) and other applicable laws.
2. Data we collect
Depending on how you use VetX, we collect:
- Account data — your name, email address, phone number and password (or your Google account details if you sign in with Google).
- Shop data — your shop's name, address, contact details and business information you enter when registering or editing store settings.
- Business records you create — products, stock levels, sales, payments, credit (owing) records, customers and their contact details, employees, suppliers, expenses and accounting entries.
- Clinic records you create — customer and animal details, consultations, prescriptions, vaccination and appointment records.
- Supply orders — items you order from Farm Alert's catalogue and the status of those orders.
- Support conversations — messages you send to us, including on WhatsApp.
- Device and usage data — basic information about your device, browser and how you use the app, which helps us keep VetX working and secure.
- Offline data — when you sell without internet, sales and stock changes are stored on your own device first and sent to VetX when the network returns.
The business records in VetX are mostly created by you and your staff. As the shop owner, you are responsible for the customer and animal data you choose to store, and you must have a lawful basis for keeping it.
3. How we use your data
- To run VetX for you — syncing your stock, sales, credit book, clinic records and accounting across your devices.
- To fulfil supply orders you place and keep you updated on their status.
- To send messages you have asked for — receipts, vaccination and appointment reminders, and reorder updates — through WhatsApp.
- To provide support, including on WhatsApp, and respond to your requests.
- To manage your subscription — tracking your 30-day free trial and renewal status.
- To keep VetX secure, prevent fraud and abuse, and fix problems.
- To improve VetX, using combined and anonymised information about how shops use the app.
- To comply with law, respond to lawful requests, and enforce our terms.
We do not sell your personal data, and we do not use your shop's business records to advertise to anyone.
4. Who we share data with
We share data only with the people and services needed to run VetX:
- Farm Alert staff — to support you, fulfil your supply orders and manage your account, on a need-to-know basis.
- Service providers that host and deliver VetX — our cloud hosting, database and authentication providers, bound by confidentiality and security obligations.
- Google — if you sign in with Google, Google handles the sign-in under its own privacy policy.
- WhatsApp (Meta) — when we send you receipts, reminders or support messages on WhatsApp, those messages are processed by WhatsApp under its own privacy policy.
- Our ERP system (ERPNext) — supply orders you place create purchase orders in Farm Alert's ERP, which contain your shop's details and ordered items.
We may also disclose data where required by law, regulation, or a valid order of a court or competent authority in Nigeria.
5. Security
We protect your data in transit and at rest using encryption, access controls and row-level security so that only you and the people you invite into your shop can see your shop's records. No system is perfectly secure, so please also protect your devices and passwords, and tell us quickly if you suspect unauthorised access.
6. How long we keep data
We keep your data while your shop is active and for a reasonable period afterwards so you can renew or export your records. Accounting records may be retained for the periods Nigerian law requires. If you ask us to delete your data and there is no legal reason to keep it, we will delete it.
7. Your rights
Under the NDPA you have the right to:
- Ask what data we hold about you and get a copy of it.
- Ask us to correct data that is wrong or incomplete.
- Ask us to delete your data in certain circumstances.
- Object to or restrict certain processing, and withdraw consent where processing is based on consent (for example, WhatsApp reminders).
- Lodge a complaint with the Nigeria Data Protection Commission.
To use any of these rights, contact us at support@farmalert.com.ng. Shop owners can also export or delete records directly in the app, and we will help with the rest.
8. Children
VetX is a business tool for shop owners and their staff. It is not intended for anyone under 18, and we do not knowingly collect their personal data. Clinic records may include animal and owner details supplied by our shop customers; shops are responsible for having permission to store them.
9. Changes to this policy
We may update this policy as VetX grows. We will post the new version on this page with a new date, and tell shop owners directly about significant changes.
